How to receive stock from a supplier in UpeoRetail
Receiving in UpeoRetail is how delivered goods become stock you can sell. You match the delivery against the order it came from, enter what actually arrived, and confirm the cost. Stock levels rise the moment you receive, so do it as the goods come in, not at the end of the week.
Before you start
- Have the supplier's delivery note and invoice in front of you.
- Know which warehouse the goods are going into.
- Count what actually arrived. Do not assume the order was filled in full.
Steps
1. Open Stock Receiving
From the Stock menu choose Receiving. The screen is headed Stock Receiving.
2. Choose how you are receiving
From purchase order - the normal way. Pick from the orders awaiting delivery. Each shows the Supplier, what was Ordered, what is Already received and what is Outstanding.
Manual receipt - for goods with no order behind them. Choose the Supplier * and the Target warehouse *, then search items with Search item to receive…
If there are no orders waiting, the screen says No active orders awaiting delivery.
3. Set the warehouse
Choose Into warehouse. Get this right. Stock received into the wrong warehouse will not be sellable where you need it.
4. Enter what arrived
For each item, enter the quantity that actually turned up.
If the delivery is complete, press Receive all remaining.
If the supplier short-delivered, enter the smaller number. The rest stays Outstanding on the order and can be received when it comes.
5. Check the cost
Check Cost / unit against the supplier's invoice. This is what your profit is calculated from, so a wrong cost here quietly distorts every margin figure later.
Receiving value and Total cost show what the delivery is worth.
6. Add a reference
Put the supplier's delivery note number into the notes box, which reads Delivery note / reference…
7. Receive it
Press Receive now.
The receipt appears under Recent receipts and the stock is on the shelf.
What good looks like
- The items show the new quantity in Items.
- The order shows the right amount as received, or reads This order is fully received.
- Total cost matches the supplier invoice.
- The receipt is listed under Recent receipts.
If something goes wrong
The order is not in the list. It may already be fully received, or was never raised. Check Purchase Orders, or use Manual receipt.
More arrived than was ordered. Do not force it. Speak to whoever raised the order. Over-receiving hides a supplier error.
The cost is different from the order. Enter what the supplier actually invoiced. That is the true cost of your stock.
Goods are damaged. Receive only what is good. Deal with the damaged ones as a supplier claim, not by receiving and writing off.
