How to move stock between branches in UpeoRetail

A transfer in UpeoRetail moves stock from one branch or warehouse to another. It happens in two halves. The sending shop dispatches it, and the receiving shop confirms it arrived. Until someone confirms, the stock is recorded as in transit, so anything that goes missing on the way is visible.

Why two steps

If transfers were one step, stock lost between two shops would simply disappear and nobody would know where. Splitting dispatch from receipt means an unconfirmed transfer is a question somebody has to answer.

Before you start

  • Know which branch and warehouse the stock is leaving and going to.
  • Make sure the stock is actually there to send.

Steps

1. Start a transfer

From the Stock menu choose Transfers, then start a New transfer.

2. Say where it is going

Set From branch and From warehouse *, then To branch and To warehouse *.

Check these carefully. A transfer sent to the wrong warehouse has to be sent back.

3. Add the items

Search with Search item to transfer… and add each item with its quantity.

System qty shows what is available where it is leaving from. You cannot send what is not there.

Use Count guide to help work out what to send.

4. Add notes

Put the driver, the vehicle or the delivery reference under Notes. It is what you will need if the goods do not arrive.

5. Dispatch

Press Dispatch.

Stock leaves the sending warehouse now. The transfer shows as sent, waiting to be received.

Where your shop requires it, a supervisor presses Approve before it can go.

6. Confirm at the other end

When the goods arrive, someone at the receiving branch opens the transfer and presses Confirm receipt, entering what actually arrived.

The stock lands in the receiving warehouse and is sellable.

What good looks like

  • Stock has dropped at the sending warehouse and risen at the receiving one.
  • The transfer shows as received, with Received quantities matching what was sent.
  • No transfers sit dispatched but unconfirmed for days.

If something goes wrong

Less arrived than was sent. Confirm what actually arrived, not what the paperwork says. The difference is a real loss and needs looking into. Confirming the full amount to make the screen tidy hides a theft.

The transfer was never confirmed. Chase the receiving branch. Unconfirmed transfers mean stock nobody can sell.

Wrong warehouse. Raise a transfer back the other way.

You cannot send an item. There is not enough at the sending warehouse. Check System qty, and count the shelf if it looks wrong.
