How to make a sale in UpeoRetail
UpeoRetail records a sale at the counter in four moves: find the item, say who is buying, take the money, and print the receipt. Stock drops as you sell, the money lands in the right till, and the sale appears in the day's takings straight away. A normal counter sale takes under a minute.
Before you start
- You need a Sell link in your menu. Sellers, cashiers, supervisors and managers have it. Interns do not.
- Your shift should be open, so the cash you take is counted against your drawer. See how to open and close your shift.
- The item must already exist in the shop's item list.
Steps
1. Open the Sell screen
Sign in, choose the Shop workspace, then Sell in the menu on the left.
The screen has three parts. Item search on the left, the customer and the sale list in the middle, and payment on the right.
2. Find the item
Scan the barcode with your scanner. If you have no barcode, type into the search box, which reads Scan barcode or search item code / name / brand…
You can search by item code, by name, or by brand. Press Add on the row you want.
3. Check quantity and price
The item drops into the sale list in the middle. Each line shows Qty, Rate, Disc% and Total.
- Change Qty if the customer is taking more than one.
- Disc% takes a discount off that line only.
- Sale discount at the bottom takes an amount off the whole sale.
If the item is tracked by serial or batch number, type it into the Serial or Batch box on the line.
4. Say who is buying
The Customer box starts as Walk-in — search name, phone or PIN… Leave it alone for a passing customer.
For a regular, search their name, phone number or KRA PIN and pick them. You then see their Store credit if they hold any, and their loyalty points if your shop runs loyalty.
Buyer Name is optional. Use it when a company is buying but a named person is collecting.
5. Take the money
On the right, choose how the customer is paying. UpeoRetail offers Cash, M-Pesa, Card, Bank, Store credit and Other, depending on what your shop has switched on.
Enter the Amount taken, or press Exact for the full amount. The panel keeps a running count of Total, Paid, Balance and Change due.
You can split one sale across several methods. Take KES 500 in cash and the rest on M-Pesa, and both are recorded.

6. Complete the sale
Press the green button at the bottom. It reads Complete followed by the amount, for example Complete · KES 4,500.
The receipt appears. Print it, or send it to the customer.
What good looks like
- The receipt shows the items, the total and how it was paid.
- Change due matches what you hand back.
- The sale shows in My Sales.
- Stock for that item has dropped by what you sold.
If something goes wrong
The Complete button is greyed out. The sale is empty, or the money taken does not cover the total. Check Balance on the right.
